Hi all!

I have been contacted by a company to use an image of mine in a publication. I think (probably incorrectly) that I have enough resources to figure out how to quote a suitable price, but what happens after that?

Do I invoice them and wait for payment before sending the image, or do I provide the image and invoice together or what? Anyone have sample invoice forms?

Any advice on these and other issues is most appreciated.

if they are a respectable company, and buy images on a regular basis, you should have no problem coming to terms via email or over the phone, providing them and image, and then either emailing a pdf version of your invoice, or snail-mailing them a hardcopy. as for a sample invoice, simply model off the last one you received from b&h, and change the description to whatever verbiage is necessary to describe the terms you reached (ie, the image and how it is going to be used). good luck!

What seemed to work for me initially, was think of a number that I thought was fair, then multiply it by 10.

Basically though, I send in a quote, which describes the limitations of the usage in fairly explicit terms (e.g., output media, geographic market, application restrictions etc) and provides the fee.

If they disagree with the price, I renegotiate until both sides are happy.
Then I provide the image once I have some sort of agreement in writing/ email.

I then provide the high res image and invoice them at the same time.
A lot of companies use a 60 day window for paying invoices.

using the price calculator at fotosearch.com, I calculate $650 for:

usage: event program
circulation: up to 5000
size: 1/4 page
placement: inside
languages: 2

The described usage is "for use in
an article on Counter Terrorism in the book. Could you please
kindly advise how much it would be for the attached image in
high res. 300 d.p.i. to be used as a 1/4 page inside the book.
The book will be going to the 26th GCC Summit and will be
distributed to members."

sound fair?
