Anything I should ask them or be worried about???
They contacted me to photograph some kids during a fall festival event. I have a general idea of what I should ask but it's always a good idea to pass this through some other minds before I go.
Thoughts?

I know there is sometimes rebates/kickbacks (graft if you prefer), so might be worth clearing up that tactfully. Also the co-ord of those that parents didn't give permission to be photographed.....

okay well here is the scoop... I was contacted last week about shooting a fall festival event being held at the school over the two next weekends. What they are looking to do is have me set up and take pictures of students and/or their families around some hay and pumpkins and things. It would be for 3 hours a day for 3 days and at this point it's all about creating packages for parents. I have packages right now in mind, I guess what I need to do now is create the envelope's with the information on them like you see when your kid comes home from school.
yes, I am going to be that guy... (I know how we all look at those pictures and think, BLAAA) Well that's me now... :)
So does anyone have any ideas where I could get these from?

Also what are some methods for tracking the child to the photo and then to the envelope?

Sports T&I 101!
The following information is worth money as it will save you time, errors, embarrasment. Please paypal me (pm for email).
You print up forms with prices/packages. Give them to the school. Kid takes it home, parent fills it out, it comes back on picture day with the money.
Photog shoots kid, class by class. Take order form, write down image number(s) of photo take. Place in pile with others from that class (write class on form too!). Keep each classroom seperate.
Back at the computer you pick the one shot per kid you're keeping, toss the rest. place order with the lab.
Which lab makes a LOT of difference. My lab will bag each kid (keyed on the individual's image #) for 40c or so kid, and bundle the kids by classroom. They label each envelope with the kids name/picture and what was ordered.
You then take the already seperated and organized envelopes to the school for them to give to the appropriate classroom to be handed out to the kids. See the benefit of organizing it by classroom now? (Or team if its' sports)
This will work for multiple photographers, cameras, class pics, teachers, etc. I've done this for any number of events/reunions/sports and have never 'lost' an image - as long as the form is turned it, filled out (some parents...)

Prof Fate hit the nail on the head, only thing is that its a festival over 3 days, so I doubt they will be in any sort of order, more just first come first serve. But still add the homeroom as a line on the envelope so you can sort it later. |

Don't knock the 'little head' shooter. My kid's school has about 1000 kids in it. If 80% buy at an average of $11, and the product cost is $2.50 (with order form, etc) that's 800 buys at $8.50 profit per - or $6800 for about a week's work (with shooting, make up day, etc it's gonna take 30 some hours).
I think 80% is a tad high, but I also think $11 is low. My sports stuff averages just under $24 and buy rate is well over 80%. Yeah, it's not fine art but it pays the bills so you can do the fine art!

Thats exactly the way I look at it.
Do I want to be up and on a soccer field at 7:15am on a Saturday morning? Hell no. But thats what pays the bills...and lets the stuff that I got into photography to do pay for the fun stuff. |
