I have received the following e-mail through Flickr:

Subject: Pheasant in Snow
Date: 15th March, 2011

Hello Sara,

Just wondering if we could use one of your images on a personalised christmas card and if so, what do you charge?
We are CCA Occasions Ltd in Leyland,

Looking Forward to hearing from you
Thank You

Sam Rudd

This is the photo in question:

This is the company: CCA Occassions

This is all outside my experience - how do I decide how much to quote?

reply back that you are flattered that they like your image so much and then ask them how much they normally pay to license images like this and find out how many cards they are printing.

i normally charge $400 - $1000 for christmas card usage, depending on how many are printed (200 the fewest, 2000 the most, so far). also, these have been direct licenses to businesses that wanted a unique image for their corporate holiday cards. i haven't licensed one to a publisher, yet, but i imagine i would charge QUITE a bit more for something like that.

if you don't like the number they give you, ask for more; otherwise take it.

congrats and good luck!

You can also find some pricing info at Getty Images online. You pick an image, price it out based on usages (you don't have to buy it!) ASMP has some pricing guidelines.

You do need to know more about how they intend to use it: how many will be printed, will they want to use it for only one season, or for subsequent Christmas seasons, or for other occasion cards. The pricing for usage rights will depend on qty, time frame. So you could sell them rights to print & use them just for the 2011 season, and if it is a big seller for them, they may want to purchase additional rights for subsequent seasons. Or they may want to print a large qty, be able to sell them off until they run out (over subsequent seasons).

You won't go wrong asking them to provide specifics about the usage rights they are interested in purchasing. It is a professional question, and they should be prepared for that. They may even have a standard contract they like to use, so you could ask to see it if they do. They will always ask your price first, of course, since if you say "oh, a hundred bucks will be cool" then they just saved maybe a thousand without any negotiating.

Amazon has a Business Practices for Photographers book that is very generally helpful--covers a lot of territory, what to ask, what to know, etc. You can get it with one day shipping, probably :-)

There is a companion book of Forms for Photographers that is decent, too.

Skip and chromydome, many thanks for your responses - both are really helpful, and I will compose an email to the firm shortly. I will be sure to post back the outcome here!
