A few weeks ago I started an admin job that allows me to work from home most of the time. There are about 8 staff members who work various amounts of hours and they are really quite flexible about the exact number of hours and the start/end times. As a result, I never know who will be available when, and I wish I knew how to let THEM know when I intend to work, and when I can̢۪t be reached.

Does anyone know of a program/website that allows people to post and view everyone̢۪s schedules (intended and actual)? It must be easy enough to use (and adjust) so it won̢۪t be a big chore, and hopefully free (at least for starters).

I know I could just set up a spreadsheet, but was hoping for something moreâ€Â¦.... attractive and easy.

I just woke up and I know you said no spreadsheets but if you set up a communal dropbox account on all the computers and keep a spreadsheet there (make it a pretty spreadsheet!) that should solve the problem.

We DO have dropbox and yes, the spreadsheet would work if everyone was willing to put in the "hard work" to keep it up.

I bet there is a website somewhere that lets you do things like automatically populate recurring time slots (i.e. lets say I work every day between 10am and 2pm), yet change the ones that vary - and all that as easy as possible.

What about using a Google calendar? (It's free)

That allows recurring appointments and for ease of viewing you could assign a colour to each user.

Yes, nice idea, thank you, but out. They already use that for keeping track of something else and will NOT accept using it for this purpose :-(

Do you have Outlook? It has all the calendaring features you need, you can view other calendars, and give permission to people to update yours.

I hadn't considered that one..... I have Outlook, but I don't know about the others.
Will it let me do the recurring stuff, plus the sudden changes, too?

I am assuming that you know that outlook manages calendar locally on that machine means if your calendar is not on enterprise server then you won't be able to access it anywhere when you dont have computer. Also to another point if for some reason your computer crash and dont have backup then you will loose all of your events/meeting.

May I ask what the objection is to Google calendar?

You do know that you can have multiple Google Calendars for yourself right?

This is a server side application if you have web space you can install:

Yes, they use multiple calendars (one for each tour that is running), so they already have blocks of different colours running along. Google Calendar only shows 3 at a time, so if there are more on one day, you already have to click on the little arrow to see them all. They don't want to add anything else to that.

Oh. Dang. That's no good, then.... some of them travel a fair bit and really need access from everywhere.
